International freight shipping involves a significant amount of paperwork. Missing or incorrect documents can lead to customs delays, fines, or even seizure of goods. Here are the 5 most critical documents you need.

1. Commercial Invoice

The commercial invoice is the primary document for customs clearance. It must include seller and buyer details, description of goods, quantity, unit price, total value, currency, and terms of sale (Incoterms). Ensure all details match exactly across all documents.

2. Packing List

The packing list provides detailed information about the contents of each package — dimensions, weight, number of packages, and description of goods. Customs officers use this to verify the shipment against the commercial invoice.

3. Bill of Lading (B/L) or Air Waybill (AWB)

The Bill of Lading (for sea freight) or Air Waybill (for air freight) is the contract of carriage between the shipper and the carrier. It serves as a receipt for goods and a document of title. The original B/L is required to take delivery of goods.

4. Certificate of Origin

The Certificate of Origin declares the country where the goods were manufactured. It's required for customs clearance and may be needed to claim preferential duty rates under Free Trade Agreements (FTAs). It must be issued by an authorized body like a Chamber of Commerce.

5. Insurance Certificate

While not always mandatory, cargo insurance is strongly recommended. The insurance certificate proves that your goods are covered during transit. Some buyers and banks require it as part of the Letter of Credit (LC) terms.
