Common Customs Clearance Mistakes and How to Avoid Them

Even experienced importers and exporters make customs clearance mistakes that lead to costly delays, penalties, and compliance issues. Here are the most common ones and how to avoid them.

1. Incorrect or Incomplete Documentation

The most common mistake. Missing signatures, incorrect values, mismatched descriptions between invoice and packing list — any discrepancy can trigger a customs query or examination. Always double-check all documents before submission.

2. Wrong HS Code Classification

Using the wrong HS code can result in paying incorrect duties — either overpaying or underpaying (which can lead to penalties). Always get your HS codes verified by a licensed CHA before filing.

3. Undervaluation of Goods

Declaring a lower value to reduce customs duty is illegal and can result in seizure of goods, heavy penalties, and blacklisting. Always declare the true transaction value as per the commercial invoice.

4. Not Obtaining Required Licenses

Certain goods require import licenses, NOCs, or permits from regulatory bodies (FSSAI for food, BIS for electronics, etc.). Arriving at port without these documents means your goods will be held until you obtain them — at significant cost.

5. Missing Deadlines

Failing to file the Bill of Entry within the prescribed time after arrival leads to demurrage and detention charges. Always engage your CHA well in advance of cargo arrival.

6. Not Working with a Licensed CHA

Trying to handle customs clearance yourself without proper knowledge is a recipe for mistakes. A licensed CHA knows the regulations, has relationships with customs officers, and can navigate complex situations efficiently.
